Audiovisual equipment as the name implies simply means the use of audio and visual equipment to achieve specific goals such as enhancing vision and hearing during meetings, conferences, lectures, training, and presentations. Imagine having five thousand audiences in your training or presentation without public address system, let’s assume that you have to stand on a stage for about five feet height; would you be able to catch the attention of the audience seating at the backend of the auditorium? Not at all without the use of digital equipment such as TV, screens, and projectors which would increase the level of visibility and public address system and enhance the speaker’s voice.
A few years back, it was pretty difficult and hectic for managers to travel thousands of kilometres just to attend business meetings, conferences, and symposium. But today’s invention has made it possible to have your presence felt and your voice heard in every business meetings and conference as long as your organisation is technology savvy (Video conference system).
The benefit of audiovisual equipment to organisations:
- Saves time and cost
The use of audio-visual equipment such as a video conference system reduces the time it will take each staff of an organisation to travel from one point to the other for a business meeting. Cost of transportation and accommodation are eliminated as a result of this technology. Imagine an organisation with branches all over the country, where it becomes necessary that every branch receives special training from the head office, video conference system eliminates the barriers of boundaries and create a warmth and interactive meeting ambience with all the employees connected to each other and exchange of ideas made easy with real-time communication and feedback.
Most times, not being audible in a meeting can adversely affect the objective of the meeting. When communication is hampered with, it affects a person’s ability to understand and take in instructions. In order to avoid that, it becomes necessary that an audio system is installed in the meeting room, lecture halls and classrooms to enhance the presenter’s voice or the instructor. For conference meeting where delegates are to be seated to make their speeches, it is paramount that they have conference systems micro phones installed in each delegate’s seat with the master control unit to control and manage the delegates’ positions.
- Improve communication flow
This technology can improve communication flow especially in interactive meetings or training where the audience have to communicate back to the instructor either by asking questions or making contributions pertinent to the topic under discussion.
- Record Keeping
Most of the public address systems today have a recording facility which makes it possible to take minutes of every meeting via voice recording. I believe every manager knows the important of keeping record of every meeting. In my opinion, keeping records of every meeting is as important as keeping records of every transaction of your organisation.
- Increase the level of understanding
Audio visual equipment has the capacity to increase the level of understanding especially among the students and staff. When teaching a child, it is expedient you control the two learning sensitive organs of the body such as eye (sight) and ear (hearing). Even in big organisations, most of their presentations are done on PowerPoint and projected on a big screen for clearer vision and understanding.
- Enhances staff efficiency
It’s not a surprise to know that many fresh graduates or even some staff of organisation currently looking for high profile jobs may not have had an opportunity to make power point presentation (ppp) using a digital board such as touch screen and interactive whiteboard.
Having this equipment will help to improve the staff efficiency at work place, through the learning of how to use power point, excel and chart. Reports are then prepared using these formats and presented to the management at a glance using projectors and digital screen which makes it more professional than using a mere marker pen and flip chat board.
Gone are the days when teachers or instructors will just walk into the classroom or meeting room and start dictating for the student or trainees to write. Back then, teachers almost dictate every subject because they find it hectic and stressful writing on the board each time.
With the aid of audio visual equipment, you can now prepare your lesson notes at home, save in a storage device and make your presentations either in ms word, excel, power point or in chart format to the students on the interactive whiteboard by exporting it onto the board. One good thing about this is that you can still edit the work on the board, emphasise on salient points using any colour of soft pen, save and still have the original work intact.
Technology has made it possible to share information with delegates immediately the meeting is over. You can share information in voice or writing format which enables the delegates in a meeting go home with the proceedings. You can also share information via webcast as it is happening etc.

I hadn’t thought about how audio visual equipment could be used to help with a business’s record keeping. I usually think of AV equipment as being something to improve sound quality, so I hadn’t thought about how it could be used to reproduce the sounds as well. I’d definitely want to be able to accurately record meetings and conferences if I ran a business. Thanks for the article!
